Description Assists in planning, executing, and monitoring projects to ensure they are completed on time and within budget by supporting project managers, facilitating communication, and contributing to the successful delivery of products and services
Duties
Assist in project planning by creating schedules, coordinating meetings, and preparing for presentations or events
Coordinate activities, resources, and information to ensure smooth execution of duties, services, and projects
Monitor progress and track key performance indicators to ensure goals are met
Prepare status reports, update documentation, and communicate updates to stakeholders
Facilitate effective communication among team members and stakeholders.
Assist in risk management by identifying potential issues, proposing solutions, and addressing concerns
Support project managers in managing budgets, expenses, and resource allocation
Coordinate meetings, workshops, and presentations related to progress, duties, and updates
Maintain accurate files, records, database, and documentation for future reference
Contribute to continual improvement by suggesting process enhancements and best practices
Promote events and activities using different communication methods
Generate materials such as webpages, links, handouts, data sets, training materials, and manuals to facilitate training and delivery of services and products
Create environments that foster inclusivity and respect cultural difference
Work with volunteers, clients, team members, and stakeholders to support projects, activities, and events

Bachelor's degree in business, project management, education, or a related field. Project management certification is a plus, but not required.
Proven experience as a Project Coordinator, Assistant Project Manager, or in a similar role
Strong organizational skills and attention to detail to manage project schedules and documentation
Excellent communication skills to facilitate discussions, convey project updates, and collaborate with team members
Proficiency in project management software and tools to track progress and manage tasks is a plus, but not required.
Ability to work effectively in a fast-paced environment and manage multiple projects simultaneously
Strong problem-solving skills to address project-related challenges and propose solutions
Background in statistics, applied mathematics, or quantitative research methods is a plus, but not required
Experience with and ability to conduct remote work and telecommuting
Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite for project documentation and reporting

The Project Specialist reports to the CEO and collaborates closely with project team members, stakeholders, and relevant staff
Working Conditions, Schedule, & Hiring Requirements
This is a non-exempt (hourly) employee position.
The position has standard working hours, Monday to Thursday, 9 am to 4 pm, except holidays. The estimated amount of compensable work from February 2024 - May 2024 is an estimated total of 50 hours (or 5-8 hours per week). Work beyond that timeframe will be arranged on an as-needed basis.
The position is eligible for limited benefits including paid sick time and a remote work stipend during pay periods in which the employee performs work.
